Tips for Youth Team Leaders

As a group leader, there are several additional things to consider as you prepare to lead your team:

Leadership Team

Consider delegating some of the responsibilities to other responsible adults and/or possibly students.  You may want separate coordinators for any of the following:  fundraising, spiritual preparation, prayer team, transportation, supplies/baggage, promotion, research on Honduras, etc.  You could even include one or two people who will not be able to travel with you.

Informational Brochure

Prepare a one or two-sided brochure with general information about the trip.  This will be used to promote the trip to potential participants and to send with donation request letters.  Make sure it reads appropriately for both groups, or prepare two different brochures.  Be sure to include information about our mission work here (encourage people to visit www.missionroatan.org)  Honduras in general, the goals of the trip, dates for the trip, who may come, cost with a reference to fundraising possibilities, deadline for application, amount of deposit due with application, small application form for submission, a picture or two, and contact information for the organization and the group leader.

Communication Tree

Several Internet cafes that also offer phone calls are available on Roatan.  However, the cost can sometimes be high.  We recommend you set up one main contact in the U.S., with one back-up, who will receive all general updates from the group.  This person can then e-mail or call all other parents and interested parties with information such as "a safe arrival" or "time returning to church parking lot."  This person will also have contact information to contact you during the trip if it is necessary.

Paperwork we recommend you bring to Roatan with you

1.  a list of names of each participant on one sheet of paper

2.  a list of contact information, both day and night, for your organization and at least one other contact person in the U.S.

3.  1 copy of passport for each participant

4.  medical information for each participant
